Text Policy

Purpose:
The purpose of this policy is to provide guidelines for the responsible use of texting in professional and personal settings by Fellowship Homes, Inc employees, to ensure efficient communication, respect for privacy, and the appropriate use of time and resources.

Scope:
This policy applies to all employees, contractors, and individuals using text messaging for business communication.

General Guidelines:

  1. Professionalism
    1. Text messages should be used for professional communication that is urgent or time sensitive.
    2. Keep messages brief, clear, and respectful.
    3. Avoid using slang or informal language unless it’s appropriate for the situation or the recipient.
  2. Timing of Text Messages:
    1. Text messages should be sent during reasonable hours (e.g., 8 AM - 8 PM). If it’s necessary to send a message outside of these hours, be mindful of the recipient’s personal time.
    2. Do not expect immediate responses. Texting should not replace email or phone calls for non-urgent matters.
  3. Appropriate Use:
    1. Text messaging is intended for quick updates, confirmations, or urgent issues. It is not a substitute for formal communication such as emails or meetings.
    2. Texting should not be used to discuss confidential, sensitive, or detailed topics that require a more secure or formal communication channel.
  4. Response Expectations:
    1. Employees are encouraged to reply to business-related text messages promptly, but there should be no expectation for instant replies outside of business hours unless agreed upon in advance.
  5. Respecting Privacy:
    1. Personal text messages should not be sent during work hours, unless it's an emergency.
    2. Respect others' time and privacy by not texting excessively or during inappropriate times.
  6. Compliance with Legal and Company Policies:
    1. Text messages that involve business matters should comply with all relevant laws, including data protection and confidentiality rules.
    2. Avoid using text messages for purposes that may violate company policies, including harassment, discrimination, or inappropriate language.
  7. Emergency Situations:
    1. In cases of emergency, text messages may be used for immediate communication. However, when possible, follow up with a more detailed conversation through a call or email.
  8. Archiving and Documentation:
    1. Text messages that are work-related and contain important information should be documented and saved as necessary, following company retention policies.

Personal Use:

  • Personal text messaging during work hours should be kept to a minimum and should not interfere with work responsibilities.
  • Personal texting is permitted during breaks or lunch hours, provided it doesn’t disrupt the work environment or hinder productivity

Enforcement

Failure to adhere to the texting policy may result in disciplinary actions as outlined in the
company’s general policies.
